The Nicholson challenge is now well and truly underway and the enormous amount of pressure on the NHS to deliver £20 billion in ‘efficiency savings’ by 2015 is in full swing. With this in mind and with Jeremy Hunt revealing that the NHS will be paperless by 2018, we at V1 have commissioned a white paper to see how document management software can help with this challenge.

The paper shows that document management software can play a part in the NHS saving’s challenge as it can drive impressive efficiency savings and cut paper consumption dramatically. I’ve chosen six of the main benefits highlighted in the paper to show exactly how the software can help:

  • Reduced cost: Document management solutions will reduce spend on stationary, printing, photocopying and administration costs associated with paper documents being created and circulated.   • Reduced manual intervention: By cutting the manual intervention associated with data entry and staff hunting for mislaid or misfiled documents, you can save time that can then be put to better use.
  • Avoidance of late payment penalties: Having an efficient workflow will prevent invoices going astray or bottlenecks building as payments wait for approval. This makes it easier for you to avoid late payment penalties and benefit from potential early settlement discounts.
  • Traceability: A clear audit trail will help identify anomalies, budget breaches or rogue activity that will save on losses caused by human error or malpractice. I think that this is particularly important; especially as the UK National Fraud Authority’s latest Annual Fraud Indicator has suggested that fraud costs organisations more than £20 billion each year.
  • Green agenda: The software will give you the ability to monitor and manage energy consumption and carbon footprint. Printing and distributing paper-based documents is a significant contributor to carbon emissions, and a good document management system will monitor associated savings as content goes digital.

By investing in document management solutions, organisations can eliminate the cumbersome inefficiency and lack of transparency associated with manual, intensive paper-based processes, and can therefore drive the required performance improvements and deliver more with less.
